ADHD at Work: Focus, Deadlines and Follow-Through

Use a dated back-plan, a three-column meeting page and a 10-minute shutdown note to handle tomorrow’s work.

Tomorrow’s desk setup: Put one day list beside one meeting page. Give each deadline five dated rows, limit the day to three priorities and finish with a three-line shutdown note.

Build a five-row deadline back-plan

Start with the due date and work backward through five named rows. Add dates even when the project still feels far away.

  1. Write the handoff. Record what will be sent, who receives it and the exact due time.
  2. Reserve feedback time. Put review at least one working block before the handoff.
  3. Date the complete draft. This is the version another person could read from start to finish.
  4. Set an inputs cutoff. List the files, figures or answers that must arrive before drafting.
  5. Book the first-work row. Put the 15-minute block on your calendar instead of adding only the deadline.

Calendar entry to copy: “Q2 report, first 15 minutes, Thu June 13, 9:00 to 9:15 AM.”

Build a three-item workday

Use one sheet headed Today. Give it three priority lines, not ten. Add an estimate and multiply it by 1.5 before reserving time.

Worked example:

  1. Finish the Q2 variance note. Estimate 40 minutes. Reserve 60 minutes.
  2. Email the vendor choice to Priya. Estimate 10 minutes. Reserve 15 minutes.
  3. Enter five April invoices. Estimate 30 minutes. Reserve 45 minutes.

If a project has been avoided for three weeks, define what one work block will produce. Example: “Vendor comparison, fill the price and cancellation rows for four vendors by 11:00 AM.”

Rule one meeting page into three columns

Use one sheet for each meeting. Write the meeting name and date across the top, then draw three vertical columns.

  1. Write the owner while people are still talking. Include a name and a date or time.
  2. Treat a note with no owner as information, not an action. Ask who will handle it before the topic changes.
  3. Copy your own actions onto your Today page. Do this before you close the meeting tab.

For an action assigned to you, copy the whole line: “Update campaign schedule, Maya, Wednesday at 3:00 PM.”

Study with questions and three short passes

Read each section with one written question. Close the page and answer without looking. Skip highlighting for this pass.

Example question: “What are the three reasons this policy requires manager approval?” Read the section, close it and write the three reasons from memory.

For a 36-minute revision block, use three 12-minute passes with one job per pass:

  1. Pass 1, find gaps. Compare your short answers with the source and circle missing points.
  2. Pass 2, explain aloud. Explain each circled point without reading from the page.
  3. Pass 3, test recall. Cover the notes and answer the original questions again.

Practice in the format you will be tested in. For a timed written test, write timed answers. For multiple choice, use multiple-choice questions. For a presentation, stand up and deliver it with the same slide limit.

Write a three-line shutdown note

Set a 10-minute timer before logging off. Write these three lines in the same place every day.

Six questions about ADHD at work

Disclosure is a personal decision. You can ask for one specific change by naming the blocker, the change and the expected outcome.

Script: “When actions are assigned only verbally, I can miss details. Could we put assigned tasks and due dates in the project board after meetings? I expect that to reduce missed handoffs.”

No. Start with two sheets of paper. Page 1 is the Big 3 Day Page with Date, Three Priorities, Appointments and Parking Lot. Page 2 is the Meeting Follow-Up Page with Meeting, Date, Decision, Action and Owner + when.

Spend 15 minutes writing a three-line status update: Completed: what is done. Still needed: what remains. Proposed handoff: the new date and time. Example: “Completed: data check and charts. Still needed: summary and review. Proposed handoff: Tuesday at 2:00 PM.”

Keep three priorities. Give each one a finish line, an estimate and a reserved block. Multiply each estimate by 1.5. A 40-minute estimate gets a 60-minute block.

Use the three columns Decision, Action and Owner + when. Before closing the meeting tab, copy every row with your name onto your Today page, including its due time.

Choose in this order: one task with an external handoff due today, one task that unblocks another person and one task that prevents tomorrow’s delay. Put everything else in the Parking Lot section.
